Summary of Principal Functions:

The responsibilities of this position will be to oversee office service functions and processes of the Company’s corporate offices; including maintaining the office space, mailroom, office supplies, general office support, storage or records and equipment, and routine office maintenance needs. This role will have primary responsibility for budgeting and the coordination of all outside services related to the maintenance of an office. It will coordinate prompt response to all office services requests and inquiries, coordinate third-party vendor services, and lead Cleveland office emergency response team efforts.

Specific Responsibilities:

  • Create and maintain budget for office services. Report and correct any deviations from budget.
  • Select and maintain relationships with outside vendors, seeking the most cost-effective, qualified providers for the various services needed to maintain the office.
  • Oversee all office services activities associated with maintaining the office space, copy machines, mail distribution, office supplies, and office maintenance needs.
  • Primary liaison with building management staff and employees.
  • Develops and coordinates maintenance of a cost-effective, standard office supply inventory process.
  • Includes ensuring efficient and effective procedures are in place for ordering, maintaining and delivery of office supplies to departments and personnel on a timely basis.
  • Coordinates external vendor relationships including courier services, office supply, beverage supply and facility maintenance providers. Includes evaluating vendors’ services and pricing, scheduling of services, reviewing all invoices for accuracy and resolving differences. Includes recommending changes to vendors when applicable.
  • In conjunction with legal department and records retention policy, oversees offsite record retention program including vendor capabilities, coordinating pick-up and delivery schedules and working with various departments to ensure proper on-site and off-site maintenance of records, and timely destruction of documents.
  • Maintains facility security system including updating system for new hires and terminations.
  • Develops and maintains updated telephone directories, floor plans and maps, and other appropriate office service documents. In coordination with Information Technology and Human Resource departments, includes maintaining and updating information on employee workspace location, and coordinating workspace location and signage for new hires.
  • Interact effectively with a wide variety of people in a wide variety of settings, including senior management and external vendors.
  • Demonstrate effective time management skills by completing assignments within time budgets and calendar schedules while handling multiple tasks.

Education Needed:

  • Minimum of BS/BA in Business or Finance.

Experience Needed:

  • Minimum three (3) years of facilities or office services experienced preferred.
  • Must possess strong interpersonal skills, including the ability to work closely with all levels of management to facilitate results.
  • Strong technical, analytical and problem-solving skills.
